With the February 2026 release, customers using the World Manager–integrated system can now assign multiple Account Groups to a single user for training targeting within the Training & Development module.
Multi Account Group support allows one user to be associated with multiple Training and Development Account Groups, ensuring they receive training relevant to all the roles they perform, without the need to create duplicate user accounts.
This article explains:
The problem this feature solves
How Admins can set up users with multiple Account Groups
How hierarchy and permissions are determined
How training visibility works
Best practices for using this feature effectively
Why Multi Account Group Support Was Introduced
Previously, users who performed multiple roles in an organization had to be assigned a single primary Account Group. This often resulted in:
Incomplete training coverage, or
The need to create duplicate user accounts
Multi Account Group support solves this by allowing one user to belong to multiple Account Groups, so training can be targeted accurately while keeping user management simple and consistent.
How to Assign Multiple Account Groups to a User
Multi Account Groups are assigned when creating or editing a user. You can assign multiple account groups to all types of users including World Manager, National Manager, Area Manager, General Manager, Store Manager and Employee.
Let's cover some common scenarios to get you started.
Scenario 1: A Location Employee With Multiple Responsibilities
In many franchise locations, a single employee often supports more than one operational role. For example, the same employee may:
Handle cashier duties during peak hours
Support delivery operations when required
Assist with customer service around the store
In this situation, the employee needs to complete training related to all of these responsibilities, not just one.
With Multi Account Group support, this can now be handled using a single user account.
What happens with this setup
The employee receives training targeted to each relevant Account Group
Training appears only once, even if it is assigned to multiple roles
The employee’s permissions and system access remain unchanged
This is the recommended approach for employees who perform multiple roles at the same operational level.
How to Set This Up
To assign multiple Account Groups to a location employee:
Go to Admin > Location User
Create a new Location user, or edit an existing one. In this example, we will edit an existing user.
Enable Training and Development Access.
Select the Division.
-
In Account Group field, you'll start seeing multiple select checkboxes, from the given list select:
Delivery Crew
Cashier
Customer Service
Save the user.
Once saved, the employee will automatically receive training targeted to any of the selected Account Groups.
Scenario B: A Location User With Responsibilities Across Multiple Hierarchy Levels
In some franchise locations, a single user may take on responsibilities across management and operational levels. For example, a user may:
Act as a Business Development Manager (General Manager level), overseeing overall performance
Support day-to-day operations as a Frontline Team Supervisor (Store Manager level)
Step in as a Cashier when required
This type of role combination is common in smaller franchises or growing locations, where leaders remain closely involved in daily operations.
With Multi Account Group support, this entire setup can be managed using one user account.
What Happens With This Setup
When Account Groups span multiple hierarchy levels, the system applies clear rules:
-
The user is assigned the highest hierarchy role
In this case: Business Development Manager (GM level)
-
The user receives training targeted to all assigned Account Groups
Business Development Manager
Frontline Team Supervisor
Cashier
The user is granted management permissions of the highest role only
This ensures the user has access to all relevant training, while maintaining predictable system access and visibility.
Important Visibility Behavior
Even though the user receives training across multiple roles:
-
As a General Manager–level user, they:
Cannot see other GM-level accounts
Cannot see users assigned to GM-level Account Groups
This preserves clear authority boundaries and prevents unintended access.
How to Set This Up
To create a location user with responsibilities across multiple hierarchy levels:
Go to Admin > Location User
Create a new Location user, or edit an existing one.
Enable Training and Development Access
Select the Division
-
In Training and Development Account Group, select:
Business Development Manager
Frontline Team Supervisor
Cashier
You'll get a pop-up alerting you that doing this, the user will get manager level permissions since you have selected groups across levels.
Save the user
Once saved, the system automatically:
Assigns the highest hierarchy role
Applies the correct management permissions
Delivers training for all selected Account Groups
How Hierarchy and Permissions Are Determined
When a user is assigned Account Groups across multiple levels:
The user’s effective role becomes the highest-level role
The user receives management permissions of that highest role
The user receives training access for all assigned Account Groups
Hierarchy Rules
| Assigned Account Groups | Effective Role | Training Access | Management Permissions |
|---|---|---|---|
| GM + SM + Emp | General Manager | GM, SM, Emp | GM permissions |
| GM + SM | General Manager | GM, SM | GM permissions |
| GM + Emp | General Manager | GM, Emp | GM permissions |
| SM + Emp | Store Manager | SM, Emp | SM permissions |
Important Visibility Rules
From a management and visibility perspective:
-
A General Manager:
Cannot see users assigned to GM-level Account Groups
This rule applies even if those users are also assigned to lower-level Account Groups.
It ensures clear authority boundaries and prevents unintended access.
For example, if Aaron (General Manager user) goes into the system, he will not be able to manage Steve (General Manager, Store Manager and Employee level user) since Steve is also considered a GM in the system.
How Training Visibility Works (For Employee)
Training Assignment
Training can be targeted to one or more Account Groups
The system checks all Account Groups assigned to the user
If any match is found, the training is assigned
Duplicate Prevention
If training is targeted to multiple Account Groups a user belongs to:
The training appears only once
Completion is tracked once
Reports remain accurate
When you login as an employee and click on Profile icon from top navigation, you'll be able to see all the account groups that you are assigned to.
When you go to My Training page from side navigation, you will be able to see all the trainings that are assigned to you based on account groups that you fall under.
Performance Monitor Changes for Managers
Now when as a manager you go to see the Performance Monitor, you will start noticing a new level labeled, Multi-level User. This new level is introduced to give managers visiblity of the total users who are working on multi-hierarchy i.e. are assigned GM/SM or Emp levels.
Supported Training and Communication Tools
Multi Account Group targeting applies to:
- E-learning
- Events
- Notices
- Exit Interview
- Scenario Comprehension/ Written Tests
- Internal Survey
- Sign-Offs
- Performance Reviews
No additional configuration is required per tool.
Best Practices
Use Multi Account Groups instead of creating duplicate users
Assign only the roles a user actively performs
Be cautious when assigning GM/SM-level Account Groups, as they affect permissions.
Use this feature to improve training accuracy without increasing admin complexity
Summary
Multi Account Group support allows organisations to accurately reflect real-world roles within a single user account. By combining multiple Account Groups with clear hierarchy rules, Training & Development module now delivers:
More relevant training
No duplicate assignments
Predictable permissions
Cleaner reporting and administration
This feature is especially powerful for franchises and brands with flexible or evolving role structures.
