The Sign-Off functionality in the Training and Development (World Manager) module has been enhanced with new options to help brands deliver training more effectively and meet specific operational needs. These features will be released on June 19, 2025
This article highlights three key enhancements introduced to support different training and compliance requirements:
- Tenure-Based Targeting: Assign Sign-Offs based on an employee’s tenure, allowing for more timely and relevant training delivery.
- Mandatory Comments & Attachments: Require Managers to add a comment and upload an attachment when updating a Sign-Off status, helping ensure compliance and proper documentation.
- Complete Sign-Off for All Users: Save time by bulk completing Sign-Offs for all assigned users in a single action.
Each of these features is explained in detail below.
Note: To use these new features, you’ll need permission to create Sign-Offs in the system.
Creating a new Sign Off
All three new features can be enabled when creating a new Sign-Off—or when editing an existing one.
To get started, go to Tools > Sign-Offs and click New Sign-Off.
Tenure-based targeting
Tenure-Based Targeting lets you assign a sign-off to employees based on how long they've been in the system. This is useful for delivering training at the right stage of an employee's journey.
When setting up the Sign-Off, you can choose either a Minimum or a Maximum tenure value:
- Minimum: The Sign-Off will be shown only to employees who have been in the system for more than the number of days you specify.
Example: If you set Minimum to 60, only employees who have completed 60 or more days since their start date will see the Sign-Off. - Maximum: The Sign-Off will be shown only to employees who have been in the system for less than the number of days you specify.
Example: If you set Maximum to 30, only employees who have been in the system for fewer than 30 days will see the Sign-Off.
Mandatory Comment & Attachment
This feature allows you to require additional documentation when a Manager updates the status of a Sign-Off, either as Passed or Failed. It helps ensure better record-keeping and reduces the risk of compliance issues by making sure important notes or supporting documents are always included.
When creating or editing a Sign-Off, you can enable this option and choose which status types will require documentation:
- Comment: Managers must enter a comment when selecting the specified status (e.g., Pass or Fail).
- Attachment: Managers must upload a file (such as proof of completion, certificates, or feedback forms) when updating the Sign-Off status.
Example:
If you enable this feature for the Pass status, a Manager will not be able to mark a Sign-Off as "Passed" unless they provide a comment (e.g., "Completed training successfully") and upload a relevant file (e.g., quiz results, signed checklist, or training proof). This ensures that all completions are well-documented and auditable.
Note: You can apply this requirement to either the Pass, Fail, or both status options, depending on your process needs.
Enable Sign Off completion for all users
This feature allows Managers to mark a Sign-Off as complete for all assigned users at once, rather than updating each user individually. It’s especially useful when a large group of employees completes the same training together, saving time and reducing repetitive work.
To enable this option, check Enable Sign-Off Completion for All Users when creating or editing the Sign-Off.
Once you’ve finished configuring the Sign-Off, make sure to check the Active box and click Update to make it available to users.
Grading a Sign Off
When a Manager grades a newly created Sign-Off, they will see the updated options and requirements in place.
To get started, search for the employee you want to grade. You can do this in two ways: Complete by Sign-Off or Complete by Individual.
For this example, we’ll use Complete by Individual. Select the employee, then click on the name of the Sign-Off you want to grade.
In this example, the Sign-Off was created with the 'Pass' status requiring a mandatory comment and attachment.
- When you attempt to mark the Sign-Off as Passed for the employee, a pop-up will appear prompting you to enter a comment and upload an attachment. You must fill in both fields and click Update.
- If you skip either step, the status will not change, and the Sign-Off will remain in its previous state.
- Since 'Fail' was not set as mandatory in this Sign-Off, you can mark a user as Failed without providing any comment or attachment.
- Once you provide the required comment and attachment for a Pass and click Update, the employee’s status will change to Passed, and your name will appear as the Manager who performed the last action.
Grading a Sign Off - Completing for all users at once
To bulk complete a Sign-Off for all assigned users, follow these steps:
- Go to Complete by Sign-Off.
- Select the Sign-Off that was configured with the ‘Enable Sign-Off Completion for All Users’ option.
- Click on Bulk Sign-Off.
- You’ll now see the Complete Sign-Offs for All Users button.
- Click this button to apply the same status (Pass or Fail) to all assigned users in one action.
- The system will enforce comment and attachment requirements based on how the Sign-Off was configured.
- In this case, the Pass status was set as mandatory, the Manager must provide both a comment and an attachment before proceeding.
- After clicking Update, the system will process the request. This may take a few moments, depending on the number of users, and a success message will be shown once complete.
Note: The same comment and file will be applied to all users being marked as complete.
