Logging a captured email against a single location.

Logging a captured email against a single location.

By default, Email Capture logs an incoming email against every location linked to the sender's email address. For a multi-location owner, that means one email appears on all of their locations. You can override this by naming the location in the subject line.

How it works.

Put the location ID in square brackets anywhere in the subject line. Email Capture will then log that email against that location only.

Invoice query [1234]

To log one email against several of the owner's locations, list the IDs inside a single pair of brackets, separated by commas:

Invoice query [1234,1235]

Two things to know about the ID:

  • It must match the location ID exactly as it appears in FranConnect.
  • Capitalisation does not matter.

What happens in each case

Subject lineResult
Contains [ID] for one of the owner's own locationsLogged against that location only
Contains [ID1,ID2] for the owner's own locationsLogged against those locations only
Contains no bracketsLogged against every location linked to the sender's email address
Contains an ID that matches no location at allBrackets ignored; logged against every location linked to the sender
Contains an ID belonging to a different ownerThe email is not captured against any location

The one to watch.

That last row is the risk. If a typo produces an ID that happens to belong to a different owner, the email is dropped entirely — it will not appear on any location, including the ones it should have. There is no error message.

Check the location ID before sending, particularly when typing it by hand rather than copying it.

Requirements.

The sender's email address must be linked to the owner record for Email Capture to match the email to any location in the first place.
