Giving an Existing User Access to More Locations

Add more units to a user who already exists in Info Manager

Overview

When a user already exists in Info Manager, you do not create them again to give them more locations. Instead, you add the extra units to their existing record from the People page using Manage Associations. This is the way to give a franchise user, employee, or other contact access to multiple locations, for example an employee who needs access to all of an owner’s stores.

This guide covers how to add units to an existing user, how to confirm the change, and what to check if a location still does not appear when you sign in as (or impersonate) the user.

Note: You must have access to the People page under Info Mgr to follow these steps. If you do not see People, make sure you are using the Info Mgr menu in the left navigation (see Section 4).

1. Add Units to an Existing User

  1. In the left navigation, go to Info Mgr > People.
  2. Search for the user by name and open the results list.
  3. In the Action column for that user, click the three dots (...) and select Manage Associations.
  4. On the Manage Associations page, open the Associate Unit(s) section.
  5. Click the Associate Unit(s) drop-down and select each location the user needs. You can scroll the list or type a unit name or number into the search field to find a location quickly.
  6. Review the selected units, then click Save.

Important: The Associate Unit(s) drop-down lists every location available in the system, not only the ones the user already has. Select only the locations you want to add. Locations the user already has appear in the Associated Unit(s) section lower on the page.

2. Confirm the Locations Were Added

  1. Return to Info Mgr > People and search for the user.
  2. Click the number in the Unit(s) column to view the locations associated with the user, or reopen Manage Associations and expand Associated Unit(s).
  3. Confirm that every location you added is listed.

3. A Location Is Missing When You Sign In as the User

A location can be associated correctly on the People page and still not appear when you impersonate the user. The most common cause is the location’s lifecycle stage.

What you seeWhat to check
The unit appears under Associated Unit(s) on the People page, but not when you impersonate the user.Open the unit and check its lifecycle stage. Locations in the Sold Not Open stage do not display for the user, even though they are associated.
The user sees fewer locations than the Unit(s) count on the People page.Compare the missing units against their lifecycle stage. Units in Sold Not Open will not display.

Note: If the unit is listed on the People page and in Admin, the association is saved correctly. Re-adding the unit will not change what the user sees.

4. Cannot Find the People Page

If Manage Associations or the People page is not where you expect it, check how you are navigating:

  1. Use the Info Mgr menu in the left navigation and select People from the pop-out menu.
  2. Do not use the settings (gear) icon under Info Mgr. It opens configuration options, not the People list.

If People is still not available after using the left navigation menu, contact your Corporate Administrator or FranConnect Support to review the user’s role and permissions.
