Moving a location out of the Closed lifecycle stage
If a location has been set to Closed by mistake and the stage dropdown now only offers Terminated, this is a permission setting rather than a one-way door. The stage can be reversed once the setting is corrected.
Why only Terminated appears.
Every lifecycle stage carries a setting that controls which user roles are allowed to move a record out of that stage. If no roles have been selected on the Closed stage, no user in your system can move a location out of Closed — so the dropdown falls back to offering only the next stage in sequence, Terminated.
This is a configuration default, not a restriction on your individual account. Changing your own role or permissions will not resolve it.
Fixing it:
A Head Office Administrator can correct the setting:
- Go to Admin > Manage Lifecycle Stages.
- Open the Closed (or desired lifecycle) stage for modification.
- Under Specify the Roles to Move, select the role or roles that should be permitted to move locations out of Closed — for example, Franchise Administration. Use the "Yes" option to allow any role with access to move or "No" and then define the roles.
- Click Save.
A user holding one of the selected roles can then:
- Open the location record.
- Select Active as the lifecycle stage.
- Complete the window that opens to confirm the change.
Important: this setting is stage-wide.
Specify the Roles to Move applies to the stage, not to an individual record. Once you grant a role the ability to move locations out of Closed, that applies to every location currently in Closed — there is no per-record override.
Worth considering which roles genuinely need it before you save, particularly if Closed is a stage you rely on being stable.
Any roles selected also have to have permission to modify lifecycle stages. You might still see issues changing a lifecycle if the user role does not also have the appropriate permissions.
If a location is already in the wrong stage.
Correcting the setting restores your ability to move locations going forward, but it does not retroactively fix a record that is already sitting in the wrong stage if nobody could move it at the time. Contact Support with the location ID and the stage it should be in, and they can correct the record directly.
