How to Configure Data Sources for Frannie AI Agents

Frannie AI’s builder agents—Sales Coach and Franchisee Support—provide intelligent, context-aware responses based on the data sources to which they are connected. Configuring these data sources ensures the agents have accurate and relevant information to deliver high-quality responses. Sales Coach is designed for franchise development sales managers to engage with leads, assess them, and convert them into franchise owners, while Franchisee Support allows franchise owners to quickly access brand content without waiting for corporate responses. In this article, we will walk you through configuration for the data sources to enable you to get the most out of Sales Coach and Franchisee Support.

Accessing Data Source Settings

To access data source settings, first log into your FranConnect environment. Then, open the Frannie AI window by clicking the star icon in the menu bar, then click the Settings button in the top-right corner.

The option to configure data sources is available by default to corporate users with the “Corporate Administrator” role. To grant access to other users, enable the following privilege when creating or updating a role: Can Access AI Chatbot > Can Access Chatbot Settings.

Once in the settings, select the agent you wish to configure and click the Data Source icon to view and manage its current data sources.

You can add new data sources from either the Hub Library or your computer. To add from the Hub Library, click Add New Data, select Hub Library, and use the flat list or search bar to locate documents by file or folder name. You can select up to 50 files per batch, with each file under 100 MB in size. For files larger than 100 MB, split them before uploading, and for video files, consider uploading transcripts for faster processing. After selecting your files, click Upload and review your selections in the confirmation pop-up. Franchisee Support agents can only access public files or those tagged with a franchise user role, while Sales Coach agents can access all Hub Library documents. Keep in mind that once a file is configured as a data source, it becomes available to all users with access to that agent, regardless of original Hub permissions.

To upload files directly from your computer, click Add New Data, select Upload from File, and browse for your files. The upload process follows the same rules as uploading from the Hub Library. Once files are uploaded, they appear in the agent’s data source list. Files typically process within a minute and are labeled as Queued during this time. You can start new batch uploads without waiting for earlier ones to finish. If a file fails to process, filter for “Failed” and click Retry from the three-dot menu. To remove a file, click Delete from the same menu; the file will then reappear in the Hub Library listing page.

You can also add data sources directly from the Hub Library. To do this, locate the desired file in your Hub Library, click the three-dot menu next to it, and select Save to AI Agent. Choose the agent you want to assign the file to, then click Save.

When updating a Hub Library file that is already configured as a data source, Frannie AI automatically replaces the old version with the updated file and removes the outdated version from its knowledge base—no manual steps are required. This automation ensures your agents always reference the most current and accurate information available.
