Setting up who receives new lead notifications.

Setting up who receives new lead notifications.

New lead notification emails are controlled in two places — a global setting that governs whether they send at all, and a per-user setting that governs who receives them. Both have to line up for a notification to arrive.

Global settings.

There are two global controls:

  • Admin > Sales > Configure Email — sets the content of the notification and the default From and To addresses.
  • Admin > Configuration > Notifications — controls whether new lead emails are sent at all, to anyone in the system.

If new lead emails are switched off under Configuration > Notifications, nothing will send regardless of any other setting.

Per-user settings.

Each user also has their own notification preferences. A lead owner who has new lead emails switched off on their own user record will not receive them, even when the global setting is on.

By default, a lead owner receives an email when a lead is assigned to them — not for every lead that enters the system.

If only one person is receiving notifications.

The usual cause is lead assignment rather than notification settings. Check your Round Robin configuration: if Round Robin is enabled by lead source but only a default lead owner has been selected, every lead will be assigned to that one person, so they will be the only one receiving notifications.

To spread assignment across a team, add the other lead owners to the Round Robin configuration.

Copying a third party on every new lead.

If you want someone outside the lead owner group — a call centre contact, for example — to receive a copy of every new lead notification, add their address as a CC or BCC on the notification itself:

  1. Go to Sales > Configure Email Content Sent to Lead Owner.
  2. Add the address in the CC or BCC field.
  3. Save.

They will then receive a copy of everything that comes in.

Important limitation.

A CC or BCC recipient only receives the notification if the email actually sends. That means:

  • New lead emails must be enabled in the global settings, and
  • The lead owner must have new lead emails enabled on their own user record.

You cannot have a BCC recipient receive new lead emails while the lead owner has them switched off. If the lead owner does not want them in their inbox, you have two options:

  • Leave the notifications enabled for the lead owner and have them filter the messages in their own mail client, or
  • Set up a workflow that sends the new lead details to the third party only.

If you cannot see the Configure Email settings

Access to Admin > Sales > Configure Email depends on your role permissions. If the option is not visible to you, ask one of your system administrators to make the change or to review your role.
