Overview
Outlook Calendar Sync allows you to connect your Microsoft Outlook calendar with FranConnect so that events, meetings, and appointments can sync between both systems.
With this integration, you can:
- Connect your Outlook account to FranConnect
- Sync calendar data between Outlook and FranConnect
- Configure how many past and future events are included in the sync
- Create events in either system and keep calendars aligned
Before you begin
Before setting up Outlook Calendar Sync, make sure:
- Calendar Sync is enabled in your FranConnect system
- You have access to the Outlook account you want to connect
- You have the appropriate FranConnect permissions to manage integrations
Note: If you do not see the Outlook Calendar option in FranConnect, contact your system administrator to confirm the feature has been enabled.
Step 1: Open the Outlook Calendar integration
After Calendar Sync has been enabled, go to:
Options > Integrator > Miscellaneous > Outlook Calendar
This is where you can connect your Outlook account and manage sync settings.
Step 2: Connect your Outlook account
To connect Outlook to FranConnect:
- Click Connect Outlook.
- Enter your Outlook email address.
- Sign in using your Outlook credentials.
- Complete the connection process.
After the connection is successful, a confirmation message will appear.
Tip: Make sure you sign in with the Outlook account you want to use for calendar synchronization.
Step 3: Configure your sync settings
Once your Outlook account is connected, you will see two options:
- Settings – Use this to configure sync preferences
- Disconnect – Use this to remove the Outlook account connection
Click Settings to:
- Set the sync window
- View the user for whom calendar sync is configured
What is the Sync Window?
The Sync Window controls how many past and future calendar events are included in the sync.
When you enter a number, that number applies to both directions from the current date:
- Past events
- Future events
Example
If the Sync Window is set to 10 days, FranConnect will sync:
- Events from 10 days in the past
- Events up to 10 days in the future
This creates a 20-day sync range centered on today.
For example, if today is April 16 and the Sync Window is set to 10:
- Past events synced: April 6 to April 16
- Future events synced: April 16 to April 26
Note: A larger sync window includes more historical and upcoming events.
Step 4: Go to the Calendar
After setup is complete:
- Go to Hub.
- Click Calendar.
This is where you can create and manage calendar entries.
Step 5: Create an event, meeting, or appointment
From the Calendar page:
- Click Create.
- Select one of the following:
- Event
- Meeting
- Appointment
- Enter the required details.
- Click Save.
You can create calendar items in FranConnect or Outlook, and they can sync between both systems.
Step 6: Start a new sync
To manually initiate synchronization:
- Click More.
- Select New Sync.
A pop-up message will appear, such as:
“New Sync initiated for user Corporate Administrator.”
Once initiated, calendar events will sync automatically between FranConnect and Outlook in both directions.
Tip: Use New Sync after completing setup or after creating new events if you want to trigger synchronization manually.
What happens after setup?
After Outlook Calendar Sync is configured:
- Events can sync between Outlook and FranConnect
- Users can manage schedules more efficiently
- Calendar data remains aligned across both systems
Troubleshooting
If Outlook does not connect or events are not syncing, try the following:
- Confirm that Calendar Sync is enabled in system settings
- Verify that you signed in with the correct Outlook account
- Review the Sync Window settings
- Run New Sync again
- Disconnect and reconnect the Outlook account
Note: If the Outlook Calendar option does not appear, your administrator may need to enable the feature first.
