How to Create User Accounts through the Human Resources Module

When you hire someone through Contract Generation or Recruitment in World Manager, you can create their FranConnect user account without leaving the hiring workflow. Once the contract is accepted or the candidate is marked as hired a Create a New Account button appears, opens the FranConnect user creation page for the user type you choose, and pre-fills it with the details already captured on the hiring form.

This guide covers both routes: creating an account from an accepted contract, and creating one from a hired Recruitment candidate.

Before you begin

Universal Manager, World Manager, National Manager, Area Manager, General Manager, and Store Manager users can create accounts through the Human Resources module. Employee-level users cannot.

You also need account creation privileges in FranConnect without them the Create a New Account button does not appear. 

Note: If a corporate user cannot manage divisional users, Divisional User (NM) is not offered in the selection pop-up.

Creating an account through Contract Generation

Log in to FranConnect and open the World Manager platform, Select a division

Go to Human Resources › Contract Generation.

Click New Contract

Select the Hiring Manager, set the Source to New Candidate, choose the package, then click Save

Note: Source also offers Existing Employee and Recruitment Applicant. Only New Candidate leads to creating a new account.

Enter the candidate's details and click Save. Complete the Review Contract page. You can send the Welcome mail from here. Then sign the contract

.Note: Nothing further is possible until the candidate signs.

Once the candidate has signed, open the contract and click Accept Contract. The status shows Pending Acceptance.

Click Accept, then click Yes on the confirmation pop-up.

The status changes to Accepted and a Create a New Account button appears.

Click Create a New Account. A dropdown lists the user types you can create.

Select a user type. Divisional User (NM), for example, opens the Add Divisional User page. Complete the form as you would in FranConnect, then save.

Once the account exists, the Create a New Account button no longer appears on that contract.

Note: The Hiring Manager can be changed only until the contract is sealed once both parties accept, it is fixed.

Creating an account through Recruitment

Go to Human Resources › Recruitment

Open the Positions tab and select a position that has applicants, then click Talent Pool.

Click the Edit icon on a candidate's row, right of the Score column, then click the edit icon in the Offer Position column.

Note: Talent Pool appears for users with access to Recruitment › Applicants.

At this stage you have two options:

  • Progress — stays inside the Recruitment tool.
  • Save and Start Contract — switches to Contract Generation and follows the contract steps above.

Click Progress, then click the edit icon in the Hire column.

The candidate is marked as Hired and a Create a New Account button appears.

It works exactly as it does on an accepted contract click it, pick the user type, complete the FranConnect form, and save.

Note: The button appears only for external candidates, and disappears once the account is created.

Selecting the user type

The dropdown shows only the user types you can create, and behaves the same in both flows.

Note: For multi-region and multi-location owners, all their locations are available in the Franchise ID field.

Data carried over into FranConnect

These fields are pre-filled on the FranConnect account creation page from the hiring form:

  • WM access checkbox (pre-checked) and WM Division
  • First Name and Last Name
  • Address, Country, City, State
  • Phone and Mobile
  • Mail
  • DOB

Other data and documents from contract generation are stored on the World Manager account, and appear in that user's World Manager account settings once the account exists.

Note: Language translations apply across both systems, if Divisional Users are labelled Brand Users in FranConnect, World Manager uses the same term.

Returning to World Manager

After the user is created you land on the FranConnect Manage Users page. Click the back arrow next to the ACTIVE DIVISIONAL USER header hovering shows Back to World Manager to return to World Manager.
