Guide on Setting Up Agreements Assist Bot for Franchise Admins and End-users

Overview

Agreements Assist is an AI-powered feature within FranConnect that helps users extract and review key contractual information from agreement and lease documents.

The system analyzes uploaded documents and extracts relevant details such as agreement terms, renewal information, financial obligations, and contact information. The extracted data can then be reviewed and saved into structured fields within the franchise record.

In addition to extraction, Agreements Assist also provides an AI chat interface that allows users to ask questions about the uploaded agreements and retrieve relevant information quickly.

This guide explains how to configure and use Agreements Assist from an administrator and end-user perspective.

Prerequisites

Before using Agreements Assist, ensure the following are configured:

  1. Agreements Assist is enabled in the system.

  2. Required fields for agreement or lease information are created using Form Generator.

  3. Extraction prompts and definitions are configured in the Admin settings.

  4. Agreement or lease documents are available for upload.

Step 1: Create Agreement Fields Using Form Generator

Before running document extraction, the system must have predefined fields where the extracted information will be stored.

  1. Log in to the FranConnect system.

2. Navigate to Admin.

3. Open Form Generator.

 

Create Required Fields

Create the fields that will store extracted information from agreements and lease documents.

Examples of commonly used fields include:

  • Agreement Start Date

  • Agreement End Date

  • Renewal Term

  • Franchise Fee

  • Royalty Fee

  • Lease Start Date

  • Lease Expiry Date

  • Contact Information

  • Financial Notes

These fields will be used by Agreements Assist to populate structured agreement data after extraction.

Step 2: Understand Agreement Tabs

Agreements Assist works with two primary document categories:

Agreements

Used for:

  1. Franchise agreements

  2. Amendments

  3. Addenda

  4. Other contractual documents related to franchise operations

Real Estate

Used for:

  1. Lease agreements

  2. Property contracts

  3. Location-specific real estate documentation

When documents are processed, the extracted data will be stored under the corresponding tab.

 

Define Extraction Prompts and Field Definitions

In the admin configuration, define how the AI should extract information from uploaded documents.

1. Log in to the customer’s FranConnect system
2. Click on Frannie AI. 
3. Click on agent setting located on top right corner.
4. Click on manage prompt and persona. 

 
 
  1. What the field represents: A field represents a specific piece of structured information that needs to be captured from an agreement or lease document.

  2. How it should be identified within the document: It defines where and how the system should recognize the required information in the document using keywords, location, and format.

  3. Any contextual information needed for accurate extraction: It provides additional guidance (like section hints or wording variations) to help the system extract the correct information more accurately.

These definitions guide the AI in identifying and extracting the correct information from agreement documents.

 
 

Save Configuration

  1. Click Save.

  2. Log out of the system.

  3. Log back in to ensure the configuration is applied.

Step 3: Running Document Extraction

Once fields and extraction settings are configured, users can begin processing agreement documents.

Access Agreements Assist

  1. Log in to the FranConnect system.

  2. Click Frannie AI.

  3. Select Agreements Assist Bot.

     

     
     

Select Franchise and Document Category

Choose the Franchise for which the document will be processed.

 

Then select the appropriate tab:

Agreements

Used for franchise agreements and related contractual documents.

Real Estate

Used for lease agreements and location-specific real estate documents.

Upload or Select a Document

Upload a document by either:

  1. Uploading a new document, or

  2. Selecting an existing document already stored in the system.

Start Extraction

After selecting the document:

 
 

Click Continue for Extraction.

The system will analyze the document and extract relevant information based on the field definitions configured earlier.

 

Step 4: Review Extracted Data

Once extraction is complete, the system displays extracted information grouped into sections such as:

  1. Agreement Details

  2. Renewal Details

  3. Contact Details

  4. Financial Notes

Carefully review the extracted data to ensure accuracy.

 

 

This feature enhances or completes structured fields based on contextual analysis of the uploaded document.

Use this option when:

  1. Some fields are incomplete

  2. Formatting inconsistencies exist

  3. Additional contextual alignment is required

Review the autofilled values before finalizing.

Save Final Data

After confirming the extracted information:

Click Save Data.

This stores the finalized agreement data within the selected franchise under the Agreements or Real Estate tab.

Step 5: Using the Agreements Assist Chat

Agreements Assist also includes an AI-powered chat interface that allows users to retrieve information from uploaded documents.

Users can ask questions about agreement clauses, financial terms, lease information, and other contractual details.

Examples of questions include:

  1. What is the renewal term for this agreement?

  2. What are the royalty fees for this location?

  3. What is the lease duration for this property?

  4. What financial obligations are defined in the agreement?

  5. What are the termination conditions?

The assistant analyzes the uploaded documents and provides responses based on the available information.
