How to Configure Data Sources for Frannie AI Agents

Overview

Frannie AI’s builder agents — Sales Coach and Franchisee Support — provide intelligent responses based on the data sources they are connected to. Configuring these data sources ensures the agents have accurate, relevant information to work with.

  • Sales Coach is designed for franchise development sales managers to engage with leads, assess them, and convert them into franchise owners.

  • Franchisee Support is for franchise owners to access brand content quickly, without waiting for corporate responses.

Note: The quality of an agent’s responses depends entirely on the quality of the data sources configured.

Accessing Data Source Settings

  1. Open the Frannie AI window from the star icon in the menu bar.

 

 

  1. Click the Settings button in the top-right corner.

    1. Please note that the option to configure data sources is available for corporate users belonging to “Corporate Administrator” by default. If you want to give access to other users in the corporate group, please use the following privilege (when either creating or updating a role): Can Access AI Chatbot > Can Access Chatbot Settings

  1. Select the agent you wish to configure.

  2. Click the Data Source icon to view and manage the agent’s current data sources.


Adding a New Data Source

You can add data sources from either the Hub Library or your computer.

From the Hub Library

  1. Click Add New Data.

  1. Use the flat list or search by file or folder name to find your documents.

  1. Select up to 50 files per batch, each under 100 MB.

    • For files larger than 100 MB, split them before uploading.

    • For video files, consider uploading transcripts for faster processing.

  2. Click Upload.

  3. Review your selections in the confirmation pop-up.

Access rules:

  • Franchisee Support: Only public files or those tagged with a franchise user role are listed.

  • Sales Coach: All Hub Library documents are available.

Important: Once a file is configured as a data source, it becomes accessible to all users who can access that agent, regardless of original Hub permissions.

From Your Computer

  1. Click Add New Data.

  2. Select Upload from File.

  3. Browse for your files and upload.

  1. The upload process is the same as for Hub Library files.

From Top Stories

1. Click Add New Data.

2. From the Upload From dropdown, select Top Stories.

3. The panel lists your active top stories, each with its Title, Roles, Creation Date, and Expiration Date.

4. Use Search top stories or the Roles filter to narrow the list, then select the top stories you want to add.

5. Click Upload. Review your selection in the confirmation, then confirm to start training the agent on the selected top stories.

Note: Only active stories whose start date has been reached will be available for upload to the Knowledge Base. Stories with a future start date will not appear until that date.

How expiration works for top stories

Each top story shows an Expiration Date in the selection panel, so you always know how long it will remain part of the knowledge base.

Note: When a top story reaches its expiration date, it is automatically removed from the agent’s knowledge base. No admin action is required.

Top stories are added to the knowledge base with a common label, which lets the agent surface them quickly when franchisees ask questions such as “What’s new?” or “What’s the latest news?”

Managing Data Sources

  • Processing Status: Files show as Queued and typically process in under a minute.

  • Batch Uploads: You can start new batches without waiting for earlier ones to finish.

  • Failed Files: Filter for “Failed” and click Retry from the 3-dot menu.

  • Removing Files: Click Delete from the 3-dot menu; the file becomes available in the Hub Library listing page again.

Adding from the Hub Directly

You can configure a file for an agent directly from the Hub Library as well. Here are the steps:

  1. Locate the file in your Hub Library.

  2. Click the 3-dot menu next to the file and select Save to AI Agent

  1. Choose the agent and click Save.

 

Updating Files

When you update the content of a Hub Library document that is already part of an agent’s data source, the agent will automatically:

  • Replace the old version with the updated file.

  • Remove the older file from its knowledge base.

No manual action is required.
