What controls how long a recipient can open a sent FDD, and what happens when it has to be resent
Overview
When an FDD is sent from the system, the email gives the recipient login credentials for the FDD portal. Two separate settings decide how long the recipient can open it. Neither is a fixed number of hours or days: both are set by your organization, so check them before you send.
Important: Resending an FDD restarts the disclosure clock. Confirm both settings below before sending, so a recipient's access does not lapse and force a resend.
1. The Two Settings That Control Access
| Setting | Where to find it | What it controls |
| Login Credentials Duration | Admin > FDD Management > FDD Configuration Settings | How long the login credentials in the FDD email stay valid. One value for the whole system. |
| Expiration Date (the Date of Expiry field) | Admin > FDD Management > FDD Management | The date after which a specific FDD can no longer be sent or viewed. Each FDD has its own. |
Both settings apply at the same time. A recipient who is past either limit can no longer open the FDD.
2. Login Credentials Duration
The credentials in the FDD email are valid for a set period, counted from the first FDD email sent. If the recipient does not log in and view the FDD within that window, the credentials expire and the FDD must be resent. This is the setting that answers how long an FDD stays accessible when the recipient never opens it.
- Go to Admin > FDD Management > FDD Configuration Settings.
- Under Configure Log on Credentials Duration, review the Select Log on credentials duration dropdown. Options run from 1 Day to 29 Days, then 1 Month, 2 Months, and 3 Months.
- To shorten or lengthen the window, select a new value and click Save.
3. FDD Expiration Date
Each FDD you upload has its own Expiration Date. Once that date passes, the FDD can no longer be sent, and anyone it was already sent to can no longer view it.
The date is entered in the Date of Expiry field when you upload the FDD, and it appears in the Expiry On column of the FDD list at Admin > FDD Management > FDD Management.
Before sending, confirm the date falls after the period your recipients will need access.
4. Uploading a New FDD Version
Important: Uploading a new version of an FDD breaks the links already sent under the previous version. Every recipient of the earlier version must be sent the FDD again, which restarts the disclosure clock.
Before you upload a new version, check which recipients were sent the current one and still need access.
5. Editing FDD Email Templates
FDD email templates are edited under Admin > FDD Management > FDD Email Template Summary. This area requires the Corporate System Administrator role. Users without it do not have access, so template change requests must be handled by a Corporate System Administrator in your organization.
