Reading lead status numbers correctly in reports.

1 min read

If you are looking at the Master Tracking report and the status counts add up to more than your total lead count, the report is working correctly. It is measuring something different from what you are probably trying to measure.

Two different ways of counting.

Current status reports count each lead once, in whichever stage it is sitting in right now. The status columns always add up to your total lead count.

The Master Tracking report counts every stage a lead has ever passed through on its way through the funnel. A lead that went from New Lead, through several follow-up stages, and on to Qualified is counted in each of those stages — not just its current one.

This is why the New Lead column will always show 100% of your leads. Every lead starts there. And it is why the stage counts add up to well over your total once you include all the columns.

Both approaches are accurate for what they are designed to show:

Building a current-status report.

To get leads by brand, broken down by current status, for a date range, build a Custom Report rather than using Master Tracking. Filter on:

  • Brand
  • Current Lead Status
  • Inquiry date for your date range
  • Lead Source, if you need to narrow further

You can save the report and re-run it as often as you need.

Current limitation: percentage columns

A Custom Report cannot calculate a percentage-of-total column. You can get the lead count per status, but the percentage has to be worked out after the fact — exporting the report and adding a formula column is the usual approach.
