Email template styles are used to change the presentation of the emails that are sent out by the platform, and are applied to email templates across the platform, such as those found in System Email Templates (within the System Configuration tool), Exit Interviews, and the Recruitment tool.
This page is accessed by clicking the Email Template Style button, found in the System Email Templates section of the System Configuration tool.
Style Management
This page contains a simple content management table, similar to those found in other parts of the platform. It allows you to see which styles are available, and buttons to edit or delete them.
In addition to these standard management functions, this page also provides the ability to preview the style. Simply use the Preview dropdown at the top of the page to select an existing email template to use as the preview example, and then click a style's Preview icon to see a demonstration.
Note: The current default style cannot be deleted.
Creating and Editing Email Template Styles
Email template styles can be created by clicking on the New Email Template Style button, and existing ones can be edited by clicking on their edit button.
Options
- Name – The main reference given to this style, this is the name that will appear when a style is being chosen for some email template.
- Active – Turning this option on will allow it to be applied to email templates.
- Width – This is the number of pixels wide that the style will be allowed to span. It is recommended that this width matches the width of the header image that is used.
- Position – This option is used to decide the alignment of the email template when it is being viewed by recipients, in relation to its container (typically the recipient's email client or web browser).
- New Header Image – File upload field, allows you to upload an image from your device, to be used as the header of the email. This image commands the main focus of the style, and should be chosen appropriately. It is recommended that the image's width matches the Width option described above. The maximum height for this is 130 pixels high. Any image that exceeds these restrictions will be scaled down proportionally to fit within it.
- Header Image Position – This option is used to decide the horizontal alignment of the header image, in relation to the email template.
- Header Image Link – Text field that can be used to enter a URL. The URL provided here will be the page that the user is taken to when the recipient clicks on the header.
- Header Background Colour – The colour that will be used in the header of the email template style. If a header image is supplied, then this colour will be applied behind the image, and will only be visible if the header image is narrower in width than the specified Width option.
- Content Background Colour – This is the colour that will be applied to the body of the style, behind the main text of the template. This is typically left as white, but can be customised as per your styling requirements.
- Content Text Colour – This is the colour that will be applied to the main text of the template. This colour should contrast with its background colour, or else it may prove difficult for the recipients to read.
- Show Border – Turning this option will show a border around the email template.
- Border Size – Used in conjunction with the above Show Border, this option can be used to adjust the thickness of the border that surrounds the email template.
- Border Colour – Used in conjunction with the above Show Border, this option can be used to adjust the colour of the border that surrounds the email template. Typically, this is a colour that contrasts with both the Content Background Colour, but is still visible when placed in front of the white canvas of email clients.
- New Footer Image – File upload field, allows you to upload an image from your device, to be used as the footer of the email. This image typically compliments the aesthetic of the supplied header, and also commands a fairly strong influence on the feel of the style. It is recommended that the image's width matches the Width option described above. The maximum height for this is 130 pixels high. Any image that exceeds these restrictions will be scaled down proportionally to fit within it.
- Footer Image Position – This option is used to decide the horizontal alignment of the footer image, in relation to the email template.
- Footer Image Link – Text field that can be used to enter a URL. The URL provided here will be the page that the user is taken to when the recipient clicks on the footer.
- Footer Background Colour – The colour that will be used in the footer of the email template style. If a footer image is supplied, then this colour will be applied behind the image, and will only be visible if the footer image is narrower in width than the specified Width option.
Once you are satisfied with the options for the style, simply click the Save or Update button to finalise the process.
